Add a Listing and make it Available - All property types

This file will guide you through adding a listing in the database. Please note, any fields with   are mandatory fields and must be completed before you will be able to save the form. Once you complete a mandatory field you will see this icon . We have added a checklist  on the right hand side of the page which shows the mandatory fields that need to be completed at any one stage . Each time you complete a mandatory field it will remove itself from the checklist.

Add a Listing

From your Dashboard, there are two ways to add a listing into the database:
1. In the upper right side of the screen, click the + button, and select Add Listing in the dropdown list. 


2. In the header menu, hover over the Listings header and select Add Listing in the dropdown menu.
  • Select the Listing Type.
  • Start typing the address of the new listing and you will see a selection of addresses that are likely matches for your property. Click on the correct address in the drop down selector. If the address does not appear in the list, you can manually add the address by clicking on the Address not found button at the bottom.
  • Once your Listing address has been entered Aro will check if there are any matching Listings currently in your database. If there is a match you will be prompted to  use the exisiting listing or add a new Property and Listing. 
  • Select Continue.


Our system uses the "Right Address" search feature. This feature eliminates mistakes and helps improve the accuracy of data being entered correctly every time. On occasion an address will not be in the Right Address database and an address will need to be manually entered - this can sometimes occur for newer estates and subdivided lots.
  • You will now be on the Add Appraisal page. 

  • On the right hand side of the page you will see the Appraisal Checklist which will contain any mandatory fields you need to complete. The mandatory fields in the checklist change depending on the stage you are trying to save the property at. See the checklists below; for the Appraisal stage you just need to fill in 3 fields whereas for the Available stage there is a lot more information required.

                     
  • You can choose which stage to save this listing at. If this is an Appraisal, you just need to fill in the 3 mandatory fields and click on Save. If you have more information and want to save the listing in the software but are not ready for it to be Available just yet, save it at Pending. If you want to take this property straight to Available you can do so (keep in mind that this stage publishes the listing on your website and third party websites depending on your setup). In the Listing stage dropdown box, you will see that you are able to add this listing at any of these three stages and the checklist changes accordingly.
      

  • For this example, I am going to take this listing straight to Available. There are 2 ways you can complete your listing: Using the Checklist or going through each page adding all information.
  • You can use the checklist to quickly add a listing with the minimum amount of information the software needs. If you click on the blue fields in the list, the software will take you to that field to complete:
      

  1. Using the checklist in this way, you can quickly find the fields you need to complete and save the listing.
  2. Alternatively, you can go through each page to ensure you have filled every field of information that you have available. We recommend entering as much detail as possible for potential buyers/tenants to view.
  3. On the left side of the page you will see tabs for each section of detail for your listing. 
      
  • You can either fill out each page and click on the next  icon at the bottom of the page, or you can click into the tabs on the left to move to the next page. Once again, don't forget to look at your Checklist to make sure you have completed all the mandatory fields.

The Listing Tabs

  • The Essentials will always relate to the stage your property is at in the database. As you move forward in stages The Essentials will have more fields in it. We did this because as you move your property through relevant stages there are things you change, alter and need to find more often. Essentials contains the mandatory fields for your property such as address owners, listing type, listing consultant, bed, bathrooms which all become relevant at certain property stages.
  • Location Details: Location details of the property including map, council lots numbers, plan types and plan numbers & whether to display addresses on websites or not
  • Property Photos: Choose to Upload images in regular or high resolution, floor plans, drop & drag placement, display or not display on websites or keep store for future record
  • Listing Details: Details such as Price, Property type & category choice, office listing type, office details consultant details and property owner details are placed in this section
  • Marketing Details: Property title, preview & main descriptions, virtual, video and web links sections, tags and a notes section. These details can also be used on window cards
  • Consultant Details: Add Sales consultants linked to the property. You can assign more than one consultant and even select who is to be displayed on marketing
  • Inspection Details: Instructions and information on gaining access to the property, key numbers, tenant notices required
  • Tenancy Details: Area to add all your tenancy information if the property is tenanted
  • Extra Details: All additional info such as features of the property, pool certificates, designs, outlooks, construction materials and defining car parking options
  • Once you have completed all relevant information, refer back to the Checklist box in the top right. You will see a property alert field, to learn more about Property Alerts take a look at this guide: Sending Property Alerts
  • Click the  button.
  • Your listing has now been saved at the Available stage and is ready to show on any websites.

The Listing Page

  • You will now be taken to the Listing page for your property.


  1. From here, you can access these buttons in the top right to be able to:

  1. Red plus button - use this to quick add a Lead, OFI, Inspection etc. from the dropdown menu.
  2. Edit Listing - this will take you back to the edit screen to update listing details.
  3. Switch or add listing - you can use this button to create a new listing for this property of a different type (ie create a Rental Listing from a Sales listing).
  4. Share Listing - once a listing is Available you can use this button to share it to other websites.
  5. Actions - use this button to find potential/matching buyers, do a Property Details Printout, Set this listing as a Feature Property or Copy the listing.

Listing Page Tabs

  •  On the left side of the screen we have several tabs with more details. If there are some tabs you cannot see you may not have that module enabled, contact Aro Support team if you are interested in adding more modules to your database and subscription.


  • Listing Details - in here you can see the details you have added for the property. There are further tabs in the middle of the screen (as highlighted above) where you can view the pricing, advertising, photos etc.

  • Leads - view existing Leads or add New Leads in this tab Adding a New Lead
  • Tasks - view existing Tasks or add new Tasks in this tab Add a Task to a Property
  • OFIs - the OFIs tab allows you to enter your open for inspection times for the listing and will store any past ofi's for future records Add an OFI time
  • Inspections - Add details of a buyer inspection, both for OFI and Private Inspections. You can also view all past inspections for this listing in this tab Add Inspection
  • Contracts - view existing Contracts and add new Contracts in this tab Add a Contract
  • Trust Accounts - view vendor and buyer trust accounts, spend and receive funds, print account summaries Trust Account Overview
  • Commissions - keep record of Commissions
  • Invoices - log invoices relating to this listing for VPA, Commission etc. Invoices Overview
  • Communications - view and log any communications sent to potential buyers in this tab (eg. see each email property alert sent to matching buyers) 
  • Documents - upload documents relating to the listing
  • Vendor Reports - create and send Vendor Reports for this listing Vendor Reports Overview
  • Window Cards/Brochures - allows you to create and print your window cards, brochures and QR code for the listing Create Window Cards/Brochures & Create a QR Code for an OFI
  • Notes - View and add notes relating to the listing
  • History - The history tab will show you everything that any staff member has done on the listing. It is a record of every update on the listing
  • Workflows - view Workflows relating to the listing Workflows Overview
  • Notifications - view any Notifications relating to the listing

Listing Stages

  • In the Listing Details page you will see the below Listing Stages ribbon:

  1. The current listing stage will be highlighted in red.
  2. You can only ever progress a listing, you cannot go backwards. You will see that above, as this listing is now Available, the Appraisal and Pending stages are greyed out whereas Under Contract is clickable. You can use this ribbon to progress your listing once an offer has been received by clicking on the Under Contract stage of the ribbon (this will take you to the Add Contract page Add a Contract to a Listing).
