When a listing is saved at the Appraisal, Pending, or Available Stages, the software will search any contacts in your database that have matching Property Alerts. The contacts are then added to the Matching Buyers list for that property. If these contacts have Auto Alerts turned on, when the listing is made Available, the software can send an alert to that matching buyer with details of the new listing and a link to the listing's page on your website.
A contact must have the following to match any properties or for them to be sent an auto alert:
When you progress a listing to Available for the first time (or you relist a property), the below option will come up. To send Auto Property Alerts, choose "Enabled" and click on "Save Listing".
When saving the listing, there is an option to disable this function above the Save Listing button if desired. You can also send a listing manually after a property has been made available by following the steps listed below.
You can view Matching Buyers for a Listing by clicking on the blue Matching Buyers box as shown below:
This will take you to a list of all Matching Buyers for the property's criteria. You will see the column on the right which shows which of these buyers has the Auto Property Alerts set up, indicated by the blue bell. The grey bell indicates contacts who have the Property Alert set up but do not have the auto alert function turned on. You can send the listing to one or all matching buyers in this section:
In the screenshot above, you will see a "Matched By" column. Once a property is Available and Open Homes and Private Inspections have taken place, buyers who have attended will become Matching Buyers for that property. Please note, OFI and Inspection Attendees will be Matching Buyers for the attended property only. You can set up an automation to create a Property Alert for these Attendees automatically when their details are registered.
