Setup a Campaign

This article will guide you through creating an Email Campaign in the database. The process is broken up to the following steps.
  1. Create the Campaign name
  2. Setting Campaign Parameters - Adding Sender Setup, Recipients Setup, Notifications and Content

Adding a Campaign

  1. Hover your mouse in Marketing menu > Campaigns 

  1. In campaign list press the New Campaign button
  2. Add Campaign name and press Done      

Setting Campaign Parameters

Subject 

  1. Enter in the subject of the email that you want your recipients to see, you can also enter an optional preview description that provides additional information about your email
  1. Once you're done, make sure to click 'Save'

Sender Setup

When setting up the sender of the campaign, this can come from one of two scenarios 

1. Same sender for all 

  1. This scenario will show the same sender for all recipients on the list. Here you can type in the name and email details of a team member 
  1. Or you can click on 'Use details from an agency or office' and select the sender from there

  1. The sender details will be pre-filled for you.

2. Send from the primary contact owner

  1. This will show the sender as being from the team member who is listed as the primary owner of the recipient
  1. If the sender of a campaign has a 'Salesperson' or 'Property Management' role, they will only be able to send to their own contacts and won't see both these options

It is important to remember that emails can only be sent to contacts that the sender is an owner of or linked to, as per team member permissions.
Management and Office Admin have default access to all contacts. 
  1. When you're done, once again don't forget to click 'Save'

Recipients Setup

AlertA campaign can only send emails to contacts that are subscribed !
  1. Selection of recipients takes on a whole new level of flexibility with the following options to create your mailing list

1. Groups

  1. Use this option to select recipients from a group or groups of contacts in the software
  1. You can select multiple groups as necessary
  1. Once you have finished adding groups, just click 'Save' to collapse this section

2. Saved Search filters

  1. Use an existing contact saved search to create your mailing list
  2. Click on 'Saved Searches' to bring up a list of searches that are in the software, select the saved search as required
  1. Once you have selected your saved searches, click 'Save' to collapse the section

3.  A Listing

  1. This option allows you to find contacts who have enquired on a listing, attended an inspection or fit the matching buyers criteria from the listing/s you select
  1. Again, once you have selected your listings, click 'Save' to collapse the section

4. Manual Selection

  1. Use this option to manually build a list of contacts by selecting email addresses from the software
  1. Once you finished adding email addresses, you can click 'Save' to collapse the section

5. Sent Campaign 

This option will allow you to use outcomes from a previously sent campaign to add recipients, For example you may want to resend a campaign to users who haven't opened or clicked on a campaign or perhaps send a follow-up email campaign to clients who did click or open a previous campaign. 
  1. To get to the options, click on 'Add Sent Campaign'
  1. Selecting a sent campaign will bring up a preview, click on use this campaign to use the campaign as a basis for adding recipients
  2. Once a campaign is selected, you will see the following
  1. Click on the dropdown and select an option to get a list of required recipients, based on the outcome criteria from your previous campaign
  1. You can see the campaigns selected and the outcome criteria chosen once you click save

  1. Continue to add additional previous campaigns as required.

Using the sent campaign option can only be used in conjunction with the manual contacts option.
  1. Once completed adding recipients, click 'Ok' to close this section
  2. Once you have selected your options for sending recipients, an estimation of the number of contacts to be sent to will be shown under to the 'To' area. This is an approximate number only, the actual number sent will be available after the campaign is sent and delivered addresses are counted

Notifications

The notifications section is optional when creating a campaign, but it is useful for receiving a software notification once certain parameters are met after a campaign is sent.

The options provided here are in this section are the number of opens or the number of clicks as a total or for a particular recipient.

Most email marketing programs no longer put a lot of weight against 'Opens' and both Google and Apple are 'auto' opening email to pre-cache images anyway. What is more important is tracking 'clicks' which is now considered a better indication of engagement with the content.
For example - if a particular user clicks multiple times, that may be an indication of high intent and worth following up.

The notification received will be dependent on your team member notification settings and could be an email, SMS or desktop notification
