Automation Dashboard - Automated Property Alerts

This guide will step you through setting up and editing the Automated Property Alert Criteria automation on the Automation Dashboard.

This automation creates a Alert Criteria against a contact when a lead comes into Aro, based on the listing they have enquired on.

For example, if a contact enquires on a 3 bed house selling at $500,000, an alert is created for a house, with minimum 3 bedrooms, within a price bracket of $400,000 to $600,000 (20% either side of the listing price, default % can be changed).

For business and commercial listings, it pulls through the category (eg. Health/Beauty, Food/Beverage etc.)
When you next add a listing that matches these criteria, this contact will show in the Matching Buyers/Matching Tenants list on your listing.

Switch on the automation

1. Navigate to the Automation Dashboard. You can do this by clicking Productivity > Automation from the main navigation menu.
2. There are 2 Alert Criteria Automation cards - Listing Enquiry and Inspection.
     
  • Listing Enquiry (this is an enquiry made on a listing on your website, or on realestate.com.au or Domain.com.au)
  • OFI/Private Inspection (alert is created after someone registers an inspection)
    • 3. Click on the Setup icon ( cog) on the automation you wish to setup/edit.

    If you cannot see this setup option, you may not have permission to make changes. Please contact a management user in your office.
    4. Toggle on Enabled to open up the option fields  

    1. Select the Alert Type

      1. Email
      2. SMS (requires the SMS module active and available SMS credits)
      3. Email + SMS

    2. When Adding Property Alert

      1. Create new Property Alert (always creates a new Property Alert)
      2. Amend existing Property Alert (will attempt to amend an existing Property Alert on the same property type. If none available, this will create a new alert

    3. Set Leeway on Price Limits   

      1. This is a percentage amount above and below the Property Alert will be created. This price is from the Display price of the listing

    4. Set if you want Property Alerts for New Listings

      1. Toggling this on means that an email will automatically be sent whenever a listing matches the Property Alert
      2. Toggling this off will create the Property Alert, but will require the emails to be manually sent
    5. Include State/NZ Region in matching rules (Business / Commercial only)
    6. Include Suburb in matching rules 
    5. Click the Save button
