Transferring listings between agencies via realestate.com.au (REA) requires coordination to prevent billing errors, duplicates, and incorrect branding. Please follow these guidelines for both incoming and outgoing listings.
We prefer a minimum of 1 business day’s notice of an upcoming listing transfer. Prior notification allows our support team to allocate time to run the import process and ensure your listings are processed in a timely manner.
Note: Requests sent after 12 noon on a Friday without prior notice may not be able to be processed until the following business day.
Once REA confirms the transfer and the listings appear in Arosoftware, you must perform the following "cleanup" to ensure they display correctly on your website and portals:
Assign the Correct Agent: REA often excludes agent details, or worse, includes the contact details of the previous agency. You must manually verify and assign the correct agent to every listing.
Manage Duplicate Profiles: If a new team member profile is automatically created using an old email address from the source agency, archive that profile immediately and reassign the listing to the correct, active team member.
Update Your Website: Imported Listings will not upload to your website automatically after a transfer. To display them, go to the Website Tab on the listing and click Update to trigger the upload.
When you transfer listings to another agency via REA, the data remains inside your Arosoftware account. The REA process does not automatically delete or withdraw them from our system.
Once you receive confirmation from REA that the transfer is complete and the listings are live with the new agency:
You must manually withdraw those listings within Arosoftware.
This ensures your internal reporting remains accurate and prevents your CRM from attempting to "overwrite" the new agency’s data on the portals.
Timeline: Prior consultation with Arosoftware Support is mandatory.
Some larger agencies have multiple REA accounts for different offices but manage them within a single Arosoftware account. This scenario is technically complex and carries high risks.
Extra Complications: Moving a listing from "Office A (REA Account 1)" to "Office B (REA Account 2)" within the same CRM often requires manual intervention from our technical team to ensure the unique IDs don't clash.
Consultation Required: You must contact us before initiating an internal REA transfer. Failure to do so can result in listings being stuck in "limbo" or appearing under the wrong office brand.
Potential Costs: Due to the manual database work required to re-map these listings internally, administrative costs may be incurred.
Do Not Re-upload Manually: Never "Add New" for a listing that is being transferred. This causes duplicate IDs , duplicate listings on your website and possibly REA billing errors.
Authorised Approvers: Ensure the Principal or Licensee of both agencies is ready to approve the REA transfer email immediately to avoid delays.
