Add Vendor Report Template

Overview

This document outlines the step-by-step process for creating a Vendor Report Template within the aroRealty platform, as demonstrated in the system tutorial video.


Why Use Templates?

The Vendor Report Templates feature is designed to provide a fast and easy way to recreate vendor reports on a regular basis. Because the foundational layout and details of these reports remain consistent across most listings, saving a preferred layout as a template saves significant administrative time. Even when using a template, agents retain the flexibility to modify individual sections or add custom text for a specific property.


The Two Creation Methods

There are two distinct ways to build a template within the software:

  1. From Scratch: Navigating directly to the template builder, selecting blank modules, and laying them out manually.

  2. From a Live Listing (Recommended): Creating a real vendor report against a legitimate, active property listing first. This allows you to see exactly how live data populates the modules so you aren't guessing what the final layout will look like. Once satisfied, you save that live report as a template.


The step-by-step process below utilizes the Live Listing method.

Step-by-Step Instructions


Step 1: Initialize a New Vendor Report

  1. Log into the software and navigate to the Vendor Reports tab.

  2. Click the orange + Add New Report button in the top right corner.

  3. Fill out the creation form with placeholder or test details:

    • Name: Input a standard test name (e.g., "Text" or "Test Report").

    • Listing: Search for and select an active property listing (e.g., 22 Kokoda Ave, Hamilton).

    • Date Range: Select the desired parameter (e.g., All Available, Last 7 Days, Last 30 Days).

    • Template: Leave this field blank, as you are establishing a new layout configuration.


Step 2: Build the Layout with Modules

Under the Modules section, click the + Add Module button to select and sequence the building blocks of your report. You can customize this completely to fit your business workflow.

The standard recommended sequence demonstrated in the tutorial is:

  1. Hero Shot — Displays the primary feature image of the property.

  2. Comments/Text — Placed near the top to serve as an introductory paragraph or personal greeting to the vendor.

  3. Summary — Populates high-level data such as Current Price, Listing Price, Listing Date, and Days on Market.

  4. Comments/Text — An optional second text block for section-specific notes.

  5. OFI Activity — Displays metrics for "Open For Inspection" times, total attendees, and private inspections, alongside a feedback breakdown log.

  6. Listing Details — Showcases the property's core specifications (bedrooms, bathrooms, car spaces) and public marketing description.

  7. Agent Details — Displays the listing agent's name, phone number, email address, and profile photo.

  8. Comments/Text — Placed at the very bottom for closing remarks or next-step strategies.

Tip: You can add the same module multiple times. Adding multiple Comments/Text blocks allows you to break up statistical data with personalized paragraphs throughout the report.


Step 3: Preview and Generate the Report

  1. Click the Preview button located just above the module list.

  2. Review the live visual mock-up that appears. This ensures all text alignment, property photos, and automated statistics pull through cleanly.

  3. Note that data-driven blocks (like the Summary or OFI Activity) will auto-fill with the test listing's real-time data, while Comments/Text boxes will appear empty, ready for future inputs.

  4. Once you verify the layout looks correct, click the orange Generate Vendor Report button on the right sidebar.


Step 4: Save the Layout as a Template

  1. While the system shows the report status as "Generating", click the Save as a template icon (represented by the floppy disk/edit icon on the right-hand actions menu).

  2. The system will automatically open the Create Vendor Report Template form, pre-populating it with the exact module sequence you just built.

  3. Locate the Name field at the top of the form and clear out any temporary text.

  4. Enter a clear, permanent name for your template (e.g., "Sales default 2.0").

  5. Click the orange Save button on the right sidebar.


Step 5: Verification

The software will redirect you to the main Templates dashboard. Look at the list to confirm your new template is visible, showing the correct title, author name, and the timestamp of when it was last updated. It is now fully active and available for selection whenever you create future vendor reports.
